Privacy Collection Notice

Genea Pty Ltd (ABN 82 002 844 448) (Genea) is committed to handling your information securely and to being open and transparent with you about our information handling processes.

We will handle your personal information in accordance with our Privacy Policy and the Privacy Act 1988 (Cth) (Privacy Act).

This notice notifies you on how we collect, hold, use, store and share your personal information when you are a patient of Genea and how you can exercise your privacy rights. It fulfills a legal requirement to notify individuals at or before the point of collecting, ensuring they understand how their personal information will be handled and can make informed decisions.

Who is collecting your personal information

Your personal information is collected by Genea. Genea provides a range of services including IVF treatments, fertility testing, genetic testing, and fertility preservation options, all with the goal of helping individuals and couples build their families.

In this Privacy Collection Notice (notice), 'we', 'us' or 'our' refers to Genea Pty Limited.

What information do we collect

Our staff and fertility specialists collect information about you to provide you with fertility treatment, services and advice. We may collect personal information including:

We normally collect this information directly from you when you complete our patient forms, however, we may need to get it from other sources. For example, from other medical practitioners, health funds or health providers and at times, we may receive information about you from your next of kin or nominated relative. 

We may also collect personal information from others who disclose your information in connection with the services that you request from us.

Why and how we use your personal information

Our staff and fertility specialists collect personal information about you to provide fertility treatment and to support the organisation's operations and services. We may collect, hold, use, and disclose your personal information for any of the following purposes:

  • Verify your identity, manage your treatment, and coordinate care with your fertility care team and referring healthcare professionals
  • Send appointment reminders, treatment updates, completing forms and follow-up communications via secure digital platforms, email, SMS, or postal mail, and to obtain and manage your treatment consents
Improving our businessWe use your information to improve the level of care, service and support we provide through activities such as:
  • Monitoring and reviewing call recordings, online chats and other business activity for quality assurance, training and compliance purposes, including to improve AI-generated summaries of calls
  • Allowing staff to refer to recorded consultations or transcriptions to ensure accuracy and continuity in your care
Managing our operationsWe use your information to manage our operations through activities such as:
  • Sharing your treatment for review by an advisory committee including but not limited to Medical Advisory Committee, Human Research Ethics Committee
  • Processing billing, Medicare claims, private health insurance reimbursements and managing outstanding accounts
  • Handling complaints, incidents, and insurance related matters
  • Sharing necessary information with service providers who support our operations or assist in delivering your care
  • Maintaining accurate records for licensing, accreditation, risk management and quality assurance purposes
  • For administrative, marketing, planning, product or service development, quality control and research purposes of Genea and its related bodies corporate
To comply with our legal and licensing obligationsWhere required, we use your personal information to comply with the law, including our regulatory obligations, including to:
  • Complying with legal obligations, including disclosures required by courts, government agencies, or statutory bodies (e.g., public health reporting, donor information, notifiable diseases)
  • Providing limited identifying information to regulatory bodies such as the Reproductive Technology Accreditation Committee (RTAC) for confidential review
  • Submission of de-identified patient and treatment information to be recorded in the Australia and New Zealand Assisted Reproductive Technology Database (ANZARD). This ANZARD information may be used for population analysis, research projects, and the publication of our success rates. This information may be further supplied to other government and statutory bodies, all in compliance with regulatory requirements. In all these cases we remove any information that personally identifies you
Performing analytics activitiesSometimes we combine information we have about you and other patients, for example patient treatment results, to use this information:
  • To help us understand trends in patient treatment
  • To analyse the data and help clinicians and embryologists to make predictions
  • Improve our business and services we offer
  • Improve the quality of our data
  • Develop services that better meet our patients needs
  • Understand and manage our risks better
Website functionality, security, analytics and online advertisingWe use information collected through website tracking pixels and cookies to:
  • Protect our website and forms from bots, malicious scripts and spam
  • Host and operate our website, forms, and embedded video and podcast content
  • Manage your cookie consent preferences
  • Understand how visitors use our website, to improve content and performance

De-identifying informationSometimes we de-identify your personal information, use non-identifying information from your medical file for data analysis, research or marketing purposes and may send this overseas.

We also will use de-identified data to help us analysis how our advertising is performing.

What would happen if Genea did not collect your personal information?

If we are unable to collect your personal and health information, we may not be able to deliver appropriate fertility care, guidance, or treatment. Incomplete or missing health details could compromise the safety and effectiveness of clinical decisions made on your behalf. Additionally, insufficient information may affect your eligibility to access Medicare or private health insurance rebates.

Who we share your information with

We understand how important it is to keep your information private and we only disclose your personal information to third parties in circumstances including but not limited to:
  • To fertility specialist, care partners and general practitioners to treat you
  • To third party service providers engaged by us (Microsoft Teams, Easysend, Cercle, Embryo Options) so that they may perform services for us or on our behalf 
  • Sharing de-identified, aggregated data with third-party advertising partners to help us understand how our advertising is performing
  • Sharing information collected through website cookies and third-party tracking pixels (such as your IP address, device and browser information, browsing activity, and, where you complete a form, hashed version of your name, email and phone number) with advertising and service platforms such as Meta, Google, HubSpot and others named in our Privacy Collection Notice, unless you opt out
  • Government agencies and regulatory bodies to comply with laws and requirements
  • To parties you have instructed us to

Website tracking, cookies and pixels

Our website uses cookies, including tools provided by third-party platforms such as Meta (Facebook and Instagram), and Google (Google Analytics, Google reCAPTCHA, Google Ads, YouTube), for website security, analytics and to advertise our services on social media and other websites. We separately use third-party tracking pixels for paid advertising with Meta and Google. Cookies and pixels used for statistics and marketing purposes run automatically, and you can opt out of them at any time via our cookie preferences tool. Some of this tracking may involve collecting information about the pages you view on our website, as your IP address, device and browser information, browsing activity, and where you complete a form, hashed (unidentifiable) version of your name, email and phone number.

Tools such as Meta and Google Ads can match your visit to our website with your profile on a social media or advertising platform, even where you are not logged in (including via Meta’s Advanced Matching). As some pages on our website relate to specific fertility services, this may allow an inference to be made about your interest in those services. We take all reasonable steps to minimise the data collected by these tools and will only use this information for the purposes identified in this notice.

We use the following cookies and tracking pixels on our website: Cloudflare, Cookiebot, FormAssembly, Salesforce, Google reCAPTCHA, Google Analytics, Vimeo, Spotify, Omny Studio, Google Ads, Meta, HubSpot and YouTube. 

These cookies generally collect information about your device, browser and activity on our website, such as your IP address, browsing activity and in some cases hashed data.
This information is shared with the third-party provider engaged by Genea to provide advertising and website services. These third parties are engaged to only use this data in accordance with this collection notice.

Some of the third party providers store or process information in Australia (Cloudflare, FormAssembly, Salesforce, HubSpot). Others may be based overseas, including in the United States (Google reCAPTCHA, Google Analytics, Google Ads, Meta, YouTube, and Spotify), the United Kingdom (Vimeo), Canada (Omny Studio) and the European Union (Cookiebot, operated by Usercentrics A/S in Denmark) and therefore de-identified data may be stored overseas.

Please note that your cookie consent choices generally apply on a browser or device-by-device basis and do not remove information already collected before you declined or withdrew consent.
